Craft a positive, disarming statement to open that will resonate with everyone
Be very clear
Face to Face…this is still the time to discuss these SOPs in person
Be transparent
Use real care and matching language
Be clear on expectations
Ensure your 3 V Alignment – verbal, vocal, visual or words, tone, body language
Tell employees how this benefits them
Be sure to direct people to the actual policy in the SOP handbook
Keep it formal
Frame changes in the positive.
Provide more than adequate training, think competence first not lawsuit
Ask for employee contributions to policy changes when possible
Provide options for honest feedback, maybe even anonymous
Apologize as/if necessary
Request policy review and sign-off from each person when appropriate
Make time for follow-up one-on-one conversations
Use examples and visuals as needed
Be open to feedback
Be sure to end on a positive!
